Hunt Access Privacy Policy

Effective September 21, 2026

Hunt Access is provided by Outside The Woods LLC. This policy explains how the Android app handles information when you use its maps, weather, property records, field tools and optional sharing features.

Information stored on your device

Your profile, landowner contacts, property details, permission terms, signatures, notes, photos, pins, sightings, checklists, hunt logs, visits, wind observations, stand preferences, imported parcels, saved truck locations and recorded trails are stored in private app storage on your device. Hunt Access does not automatically upload these records to Outside The Woods LLC or a developer-operated database.

The app has no account system, advertising or analytics SDK. Outside The Woods LLC does not sell app data. Information leaves the device for the services and actions described below.

Location and weather

With your Android location permission, the app uses your device location for the Here forecast, locating yourself on the map and other location tools you choose. Android approximate location is supported; precise location improves the usefulness of saved points and trails. Weather location updates run while the app is visible and stop when it moves to the background.

Coordinates for the Here forecast, map crosshair or selected property are sent over HTTPS to the United States National Weather Service at api.weather.gov to obtain forecasts. This may include precise coordinates when precise location is enabled or you choose a precise map point. Weather requests do not send your landowner contacts, photos, signatures or private notes. The provider also receives ordinary connection information, including your IP address. Its handling and retention of requests are governed by its own policies.

Optional trail recording

A trail starts only when you choose to record it. The app records location points locally using an Android location foreground service. Recording can continue while the screen is off or another app is open. Android shows an ongoing recording notification when notifications are allowed. Stop recording in Field tools or from the notification. The app does not request Android's background location permission, and recording does not automatically restart after a reboot.

Maps, radar and imported files

Online maps and map areas you choose to download are fetched from USGS The National Map. The radar screen requests imagery from NOAA/NWS. These services receive the requested map area or tile coordinates and normal connection information, including your IP address. The app does not include your property contacts, photos, signatures or private notes in those requests.

Parcel files and waypoints you import are stored locally. Opening a county GIS website, Google Maps directions or another external link takes you to that service, which handles the information you provide under its own policies. Requesting directions passes the selected destination coordinates to the chosen service.

Photos and dictated notes

You choose the photos or files to add. Take photo opens a camera app with access to a temporary image file. Animal and landmark photos are resized and re-encoded without their original camera EXIF metadata before Hunt Access saves them.

Dictate note opens your phone's speech recognition service. That service may process audio online under its own settings and terms. Hunt Access saves the resulting text rather than an audio recording.

Sharing, exports and backups

Calls, messages, printing, exports and sharing pass the selected information to the Android app or file provider you choose. These actions do not create automatic cloud synchronization or live partner tracking.

A shared OTW pin link contains the pin name, type, coordinates and any note you explicitly compose for sharing. Stored private notes, owner contacts, signatures, full property records and photos are excluded from that link. Anyone with the complete link can view and forward its contents. Links do not expire and cannot be recalled. Pin details are encoded in the link fragment rather than stored in a developer-operated pin database. The recipient webpage requests map imagery from USGS.

Trip files contain the property name and the pins you select; you can choose whether to include those pins' notes. Landowner contacts, signatures, permission forms and photos are excluded. A current-location message shares a requested location fix and timestamp.

A full backup can contain sensitive profile and property information, including contacts, signatures, photos and field records. Map tile downloads are separate. Protect exported files and choose their destinations carefully. A cloud storage or messaging service you select may retain its own copy.

Notifications and optional feedback

Landowner reminders and optional wind watches are scheduled locally by Android. Wind watches use forecasts loaded while the app was open; they do not monitor observed wind in the background. You can disable watches in Stand planner or manage notifications in Android settings.

Feedback is optional. You can review a message, add a screenshot, and choose whether to include your phone model and Android version. The app opens your selected messaging or email app, where you choose the recipient and send. Property records, contacts and coordinates are not automatically added. Feedback drafts remain in memory while the app is open. Test checklist checkmarks stay on your device and are not analytics. If you send feedback to Outside The Woods LLC, we receive the information you chose to send and use it to respond or investigate the issue.

Retention, deletion and your controls

Saved app records remain on your device until you delete them, erase app data or uninstall the app. Erase all app data stops recording and removes local records, field data, photos and downloaded maps. You can also manage location and notification permissions in Android settings.

Temporary sharing files are removed after they are more than one day old when the app next runs its cleanup, or when you erase app data. Copies you export or send remain wherever you saved or shared them. Deleting local app data does not recall shared links, remove recipients' copies or delete information retained by third-party services. Contact the relevant recipient or service about those copies.

Hunt Access uses Android's private app storage and HTTPS for its weather and map requests. Protect your device and exported backups; access to an exported file or complete pin link can reveal its contents.

Contact and policy changes

For privacy questions, contact Outside The Woods LLC at outsidethewoods1@gmail.com or visit otwoods.com. You may contact us about information you have sent directly to us. Local records that have not been shared with us are controlled on your device.

We may update this policy when the app or its data practices change. The effective date at the top identifies this version.
